Help

Keep your home records together, turn repeatable jobs into a plan, and record what happened. Each person has an independent account and joins a household by invitation.

Getting started

  1. Open your invitation, sign in or create your account, verify your email, and accept the household invitation.
  2. Choose an available property using Property view in the sidebar. Property labels include the household name so homes with the same name can be distinguished. If none are available, ask a Household Owner to grant access.
  3. Review equipment, documents and supplies under Home Data when your access allows it.
  4. Open Maintenance to see your available cycles and tasks.

My Home contains everyday work and reports. Home Data contains the records that support that work. Administration contains Households. Personal User Settings is in your account menu.

Household Owners manage Members and invitations and have full access to all current and future properties. Additional Owners can be appointed after confirming sensitive access. The original creator cannot be removed or demoted. A Member can exist as a local name and email before accepting an invitation. Planned assignments do not grant access. Other household roles, including Managers, need explicit property grants.

Finding and editing

Search & Favourites finds accessible equipment, documents, supplies, tools, tasks and people across properties. Add useful records to Favourites. Favourites and Recently viewed also appear on your dashboard. Access is checked each time you open them.

Use Edit beside a record to open its editing panel. Save keeps your list filters and position; Cancel closes the panel. Unsaved changes trigger a warning before leaving. Longer forms keep Save visible while you scroll. Multiple-selection fields use searchable checkboxes.

The dashboard shows your open assigned tasks with due dates and direct links. Pending household invitations can be accepted there. In maintenance cycles, Compact list keeps the work scannable; expand a task for instructions and details, or use Expanded checklist. Cycle progress and person filters can be expanded when needed.

Task Library and template lists start with your selected Property view. Choose All properties to broaden the list. Template tasks appear before the settings and images, and equipment links save with the task details.

In an equipment editor, Add new beside category, manufacturer or purchase place opens a reference form and selects the saved record without losing your equipment entries. Check its household and property placement before saving.

User Management opens your household's members directly, or lets you choose among households you own. Set up a new member's role and property access together, save, then send their invitation. Existing member roles and property grants also use one Save member access action.

Properties & equipment

Start in Properties to manage your homes. Edit a property to update its details or deactivate it. Equipment & Components holds the items associated with a property, including related equipment and components.

Open equipment details to review linked documents, supplies and images. Use the return link when following a related record to get back to the equipment you started from. Check Property view if an expected item is missing.

Documents & images

Upload manuals, receipts and other records in Documents and associate them with the relevant property or equipment. The equipment filter helps narrow the list to equipment with documents. Open a document to view its available details and file.

Private documents are available to every Household Owner and people explicitly granted Property Owner access. Property Managers do not receive Private document access. Task assignees can upload non-private supporting documents from their assigned task.

Task Library and template task lists keep your filters, expanded tasks and position in the current browser tab when you save or return. To bulk assign Library Tasks, choose a property and Member, select Assign checkboxes, then choose Assign selected. Template tasks also support bulk assignment. These defaults affect future cycles only. Template bulk assignment overrides the inherited assignee without changing other fields.

Property and equipment image galleries can hold multiple images. Choose a primary image for the thumbnail used around the application. Other record types offer a thumbnail image. Thumbnails fit within their frame, so white space may appear around wide or tall images.

If a preview is unavailable, use the document's view or download option. Access is checked again when you open a file or image. Downloads and printed copies remain outside the application's access controls.

Task Library & templates

Task Library: the reusable description of a job, including instructions and linked resources. Expand a task card for a quick read-only view. Category controls let you hide or show groups of tasks.

Template: a reusable collection of jobs for a season or routine. A field described as inherited takes its value from the named Task Library task. A template override uses a template-specific value instead. Reset to Library Default restores that link for the field.

Review linked equipment, supplies, quantities and tools on each template task. In the supplies and tools management page, Show linked only helps avoid searching through unlinked inventory.

Property Owners and Managers maintain templates and the Task Library. Copy a task or duplicate a template to use it elsewhere; review assignments and linked resources on the copy. Global reference records belong to one household. Property Members do not browse Home Repositories.

Maintenance Cycle: a particular occurrence of the plan. Starting a cycle copies the template's effective settings into the new cycle. Later Library or Template edits do not automatically rewrite existing cycle work. Where available, review selected Library changes through the cycle refresh action.

Working through a cycle

Use assignee, category and task filters to focus the work list. Ready Now reflects timing and predecessor information; it is not a safety certification or confirmation that every supply is available.

Assignees can update their own task status, snooze, defer or cancel work, add notes and supporting documents, and record supply use. Property Owners and Managers control assignments and predecessors. Snooze moves the start date forward without creating a separate status. Predecessors describe jobs that should come first; review any sequence warning before proceeding.

Decline assignment when you cannot take on a task and explain why. This unassigns the task and flags it for manager review while preserving its work status and history. Declining does not send an email notification.

Record an explanation when deferring or cancelling work. Deferred work remains unresolved. Use a Note or Follow-up to explain what happened, and select Alert when the note should appear directly on the task card. You can edit or delete your own notes while you have the required task access; system activity records preserve the audit history.

Property Owners and Managers see all cycles for their property. Members see cycles they have been given access to or that contain their assigned tasks. Service Provider Members see only their assigned tasks and related non-private records, including manuals, and do not see provider or contact details.

Use the cycle Edit button for Cycle Management, including schedule changes and closing. Completion and closing are different: closing records the decision to finish the cycle, including any unfinished work. Review deferred and cancelled items and add clear follow-up notes before closing.

Supplies & tools

Supplies & Inventory tracks consumable items and quantities. Tools records reusable equipment used to do a job. Linking a supply requirement to a task is not the same as confirming actual consumption.

Review missing supplies before starting work and record actual use through the available supply controls. Check units and quantities carefully. Inventory counts help reconcile records with what is physically on hand.

Printing reports

Use a Template checklist for a compact paper work list. Apply a Member filter when you need one person's tasks. Cycle progress and closing reports summarise the work available to you, including notes and deferred or cancelled items that need follow-up.

Reports are designed for portrait printing with repeating table headings across pages. In your browser's print preview, select portrait and check the paper size and scaling. Turn off the browser's extra headers and footers if they duplicate the report details.

A printed report reflects the records and filters at the time it was generated. Review the current cycle for later changes. Store or dispose of printed home information appropriately.

Accounts & security

Open your account menu and choose User Settings. Profile information manages your name and email. Profile image and avatar groups uploaded photos and platform choices together; selecting a primary photo or avatar updates the account image.

Open Password and 2FA to change your password or set up an authenticator app. Complete the confirmation step to enable two-factor authentication. Store recovery codes safely: each can be used once. Never share passwords or recovery codes.

Households and User Management are under Administration. User Management takes Household Owners to their household member controls. Household Owners manage members, invitations and access. Each person controls their own independent account through User Settings, including their password and two-factor authentication. Household owners and managers cannot reset another person's password or mark their email verified. If a verification email does not arrive or you cannot sign in, contact support; do not share an account as a workaround.

Pending invitations appear on your dashboard after you sign in with the invited email address and verify your account. Choose Accept invitation or Decline invitation there, or use the email link. Invitations expire after seven days. A reminder replaces the previous invitation link. Removing a Member revokes access and pending invitations while retaining referenced household history. Restoring a Member starts with No Access and requires fresh acceptance. Leaving a household does not delete your independent account.
